UTILITIES SERVICES TECHNICIAN

General Functions
  

This position is responsible for paraprofessional and administrative support work and serving as the liaison to Human Resources for a Business Unit's Division.

Work is performed under the direct supervision of Division Manager and is reviewed through meetings, conferences, reports, and results achieved.

 
Representative Duties /Assignments
  

Duties may vary based on area of assignment. The following are representative duties, it is not the intent to capture all duties performed by this classification.

  • Processes divisions personnel actions including position vacancy requisitions, job descriptions, ECNs, new hires, promotions, maintains FML logs, Worker’s Compensation claim injury forms, and performance appraisals; tracks due dates, maintains personnel files and employee listings; processes disciplinary action paperwork including scheduling PDH and grievance hearings (1st step).
  • Serves as liaison to Human Resources to complete new hires including setting up phones, Kronos, ordering computers, telephone access, etc.
  • Performs daily activities on Kronos and/or payroll transmittal sheets to ensure accurate processing of exempt and non-exempt time keeping for Payroll.
  • Assists with the budget and tracks expenditures to appropriate accounting lines.
  • Provides administrative support to the manager or other designated supervisor which may include: scheduling meetings, sorting mail, preparing routine correspondence, etc.
  • May be required to provide secretarial support for senior staff as needed.
  • Serves as the records coordinator, clears files, maintains records retention schedule and sends to records management.
  • Schedules and attends senior staff meetings; takes and transcribes minutes and distributes minutes from those meetings.
  • Oversees the day-to-day scheduling of the sections clerical staff and operations.
  • Responds to general questions concerning recruitment, compensation, benefits, and training and employee relations.
  • Chairs and serves as representative for the administrative support area in focus groups and other committees to address issues/concerns.
  • Acts as division travel coordinator – makes hotel and airline reservations, processes documentation for out of county travel, reviews, verifies and process local travel reimbursement requests.
  • Performs other related duties as assigned.
 
Minimum Qualifications
  

High School diploma or equivalent.

Three years (3) of progressively responsible administrative support experience.

An equivalent combination of education or experience may be substituted.

 
Preferences
  

Experience in a human resources support role.
