ADMINISTRATIVE OFFICE COORDINATOR

FLSA Status: Non-Exempt 

General Functions
   This position is responsible for coordinating division services and providing administrative support. Responsible for overseeing and coordinating staff, volunteers and interns engaged in carrying out varied assignments.

Work is performed with considerable independence under the general supervision of an assigned supervisor. Performance is reviewed through completed assignments, reports and project results achieved.
 
Representative Duties /Assignments
  

Duties may vary based on area of assignment. The following are representative duties, it is not the intent to capture all duties performed by this classification.

  • Coordinates projects and programs for the office, designs printed materials, facilitates County's practices, prepares special events and meetings and maintains records for past and upcoming activities.
  • Coordinates meetings, prepares documents, and creates agendas and meeting minutes. Posts meetings in accordance to the Florida Sunshine State Laws. Maintains constant lines of communication with Advisory Council and subcommittees for County purposes.
  • Composes correspondence to County Commissioners, County Mayor, executive staff and the general public on a regular basis.
  • Prepares, researches and analyzes information for reports, projects and meetings to be delivered internally and externally.
  • Provides support to reporting manager in various capacities, including but not limited to: appearing at events to represent division, giving presentations in manager's absence, performing division's annual inventory, working closely with Advisory Council members, and disseminating information to and from the fiduciary agent.
  • Answers questions regarding projects, grants, and policies in addition to conducting feedback surveys and providing results.
  • Coordinates office services such as clerical, reception, purchasing, personnel, budget, and travel.
  • Coordinates work for support staff, volunteers, and interns for day of events.
  • Performs other related duties as assigned.

Division of Cooperative Extension

  • Coordinates major projects and programs for the office
  • designs printed material and facilitates County's practices
  • Prepares special events and meetings and maintains records for past and upcoming activities, including youth development programs and activities.

Medical Examiner's Office

  • Receives and completes all public records requests, subpoenas, orders, and motions.
  • Receives and responds to all tissue, DNA, or histology slide requests.
  • Selects and provides the QA review assignments to the medical examiners.
  • Provides final toxicology reports back from laboratory to medical examiner.
  • Reviews cases daily for any indication of a foreign nationalist death.
  • Receives daily notices sent from the toxicology laboratory.
  • Monitors investigations and morgue outgoing documentation trays.
  • Manages outstanding toxicology cases and determine if significant time lapse has occurred.

Neighborhood Services Division

  • Performs research and processing of Code Compliance information, to include but not limited to property ownership, code compliance issues, easements, deeds, plats and permits.
  • Receives, reviews, and distributes violation information or requests for variance to the appropriate Zoning staff.
  • Prepares agenda items for BCC, including resolutions and Special Assessment liens.
  • Provides support for the division's advisory boards.
  • Prepares hearing documentation including agendas, minutes, certified billing letters and lien letters to property owners.
  • Determine actions for negotiation and collection of outstanding monetary fines and lines.
  • Responsible for collection, management, preservation and availability of public records.
  • Issues routine work orders, monitors status, and reviews invoices for services that may include, but not limited to lot cleanings and abatements.
  • Assists with management of electronic records, archive records retention scheduling and destruction.
 
Minimum Qualifications
  
    High School graduate or equivalent and five (5) years of experience in related field; or any equivalent combination of relevant experience and training.

    Intermediate proficiency in Microsoft Word, Access, Excel, PowerPoint and Publisher.

    Must possess proofreading, organizational, presentation and communication skills.
 
Preferences
  

Arts and Cultural Affairs

Bachelor's degree from an accredited institution in Arts Management or related field of study.

Division of Cooperative Extension

Bachelor's degree from an accredited institution in Recreation Management, Public Administration, Management, Marketing, Business Administration, Communications or related field of study.

Experience with Microsoft Office skills including publishing, word processing, and spreadsheet and presentation software.

Excellent written communication, proof reading and presentation skills preferred.

Experience in working with youth development programs and activities.

Medical Examiner's Office

Experience in records and process management, as well as administrative support in a forensic or related field.

Ability to communicate effectively both verbally and in writing with the public, while discussing, explaining, and interpreting medical examiner requests and responses referencing medical examiner statutes, codes, regulations, and practice guidelines, or the ability to gain knowledge within six months of hire, to make independent decisions based upon that knowledge.

Possess working knowledge of state and federal records retention laws, or the ability to gain knowledge within six months of hire, to make independent decisions based upon that knowledge.

Neighborhood Services Division

Experience in records and process management, as well as administrative support in a zoning, development review, or regulatory setting, or a related field.

Ability to communicate effectively both verbally and in writing with the general public while discussing, explaining and interpreting county ordinances.

Possess working knowledge of state and federal records retention laws, or the ability to gain knowledge within six months of hire, in order to make independent decisions based upon that knowledge.
