PROJECT COORDINATOR, MAIL PROCESSING CENTER

General Functions
  

This position supervises and participates in the efficient receipt, sorting, and delivery of a variety of interoffice mail and postal mail. This includes oversight of the Mail Processing Centers located throughout various County locations and the Orange County Courthouse.

Work is performed with independence and initiative under general direction of Facilities Management Assistant Manager. Performance is reviewed through conferences, observations, periodic reports, and results attained.

 
Representative Duties /Assignments
  

Duties may vary based on area of assignment. The following are representative duties, it is not the intent to capture all duties performed by this classification.

  • Responsible for developing, implementing, and evaluating methods and procedures used to provide mail services.  Develops and implements measures to protect mailing items from loss, damage, or deterioration. 
  • Assists with preparing the Mail Processing Centers annual operating budget to include expenditures for maintenance of equipment, term contracts, and leases.  
  • Monitors fund balances of the Mail Processing Center for the purpose of ensuring that allocations are accurate, and expenses are within budget limits and/or fiscal practices are followed.
  • Plans, assigns and reviews work of staff in connection with the receipt and disbursement of interoffice and official mail.
  • Provides supervision for the proper receipt, sorting, and delivery for the entire county mail service (including Corrections, State Attorney, Public Defender, Court Admin, and the Clerk of Court).
  • Provides customer service to internal customers, including answering inquiries regarding the operation and organization of the mailroom.
  • Arranges for mailroom equipment servicing and repair including maintaining maintenance records of equipment used to provide mail services.
  • Provides recommendation on purchases of products and services for mail services including mailing software and equipment.
  • Assists with contracts for supplies and services and ensures vendors are compliance with contract/delivery order, and purchase order specifications.
  • Performs other related duties as assigned.
 
Minimum Qualifications
  

Bachelor’s degree from an accredited institution in Business Administration, Public Administration or related field and three (3) years of experience in the processing and delivery of mailing operations and two (2) years of supervisory or lead experience. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.  

 
Preferences
  

Master’s degree in Business or Public Administration or related field.

Experience with Advantage Financial System.

Experience with annual budget preparation in local government.

Knowledge of the United States Postal Service regulations, office practices and procedures, communicate ideas and instructions clearly and concisely, interpret and apply rules, regulations, policies, and procedures, and prepare and maintain accurate records, files, and reports.
