General Functions |
|
Conducts special project assignments and provides administrative support to the assigned division. Responsible for providing administrative support to the Division Manager/Director and conducting assignments to enhance and improve division operations. Research, analysis, and evaluation of programs, projects, and operational procedures are performed as part of this classification.
Work is performed with considerable independence under the supervision of an assigned Supervisor or Manager. Performance is reviewed through observations, reports and results achieved. |

Representative Duties /Assignments |
|
Duties may vary based on area of assignment. The following are representative duties, it is not the intent to capture all duties performed by this classification.
- Gathers, analyzes, and evaluates data on division programs, projects, and operational procedures to identify areas for improvement and increased efficiency.
- Plans, executes, and monitors special projects ensuring timely and accurate completion of tasks.
- Provides comprehensive administrative assistance to the Division Manager/Director, including scheduling, preparing reports, and handling correspondence.
- Develops and presents recommendations based on research and analysis to enhance division operations and achieve organizational goals.
- Liaises with internal and external stakeholders to coordinate division activities, address inquiries, and maintain effective communication channels.
- Prepares detailed reports, summaries, and presentations on project progress, findings, and outcomes for review by the Division Manager/Director and other relevant personnel.
- Research Commissioners and public inquiries and respond accordingly. May act as the point of contact for Public Information Request and/or county agencies. Compiles responses to Public Information Requests and/or discovery requests.
- Performs other related duties as assigned.
Community and Family Services
- Serves as the communication point with client program inquiries, new clients, current clients, and former clients to determine their needs and facilitate needed services.
- Serves as the communication point with contractors for project assignments and management.
- Completes program-related fiscal activities such as purchase requests, payments to contractors and internal fiscal reporting.
- Performs on-site home inspections to assess client needs and to ensure project completion.
County Administration
- Provides project assistance through relevant research, initiatives, projects, project management and collaboration.
- Addresses the needs that arise for sustainability projects, particularly those related to the Sustainability Operations & Resiliency Action Plan (SORAP).
- Coordinates, develops, and implements marketing, content development, communications, media, and public awareness for sustainability programs, services, and events in support of the work of the Office of Sustainability and Resilience.
Public Works
- Assists with the initiation and closure of both Maintenance of Traffic (MOT) and Sitework permits.
- Disseminates information to field personnel. Research issues and assign to the appropriate personnel.
- Monitors Inspections and Permitting Amanda generated emails.
- Coordinates projects between Inspections and Traffic Engineering. Places and releases holds on projects.
- Tracks and monitors Letter of Credit for Sitework permits and expired permits and responds to Building Safety inquiries on permit reinstatement.
Real Estate Management
- Monitors and updates project progress in tracking software, ensuring timely task completion including data integrity and completeness, identifying bottlenecks, and proactively addressing delays. Serves as the primary liaison for project tracking software.
- Administers, manages, and enforces all County parking leases and agreements, including tracking parking permit usage per lease terms, ensuring financial payments align with agreements, and conducting quarterly reconciliations with internal records and user agencies to maintain accuracy and compliance.
- Coordinates with county agencies, facilities management, code compliance and Sheriff's Office to address and resolve complaints involving trespass on County property.
- Ensures compliance with contracts and agreements. Reviews and enforces compliance with all contractual requirements, including insurance, reconciliation, signature authority, Roadway Agreement Committee (RAC) assignments, and Adequate Public Facilities (APF) provisions.
- Prepares and administers the surplus property process for the Division.

Minimum Qualifications |
|
Bachelor's degree from an accredited institution in a field of study specified by the department and three (3) years of experience to be specified by the department. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.
Possess and maintain a valid Florida Driver's License. (County Administration, Facilities Management, and Real Estate Management)
Community and Family Services
Bachelor's degree from an accredited institution in Social Services, Business Administration, or a closely related field and three (3) years of experience in social work, business administration, or closely related field. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.
County Administration
Bachelor's degree from an accredited institution in Environmental Science, Sustainability, Physical or Natural Sciences, Business Administration, Public Administration, or related field and three (3) years of experience in writing, web-based research, content development, web page layout, social media or other related experience. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.
Public Works
Bachelor's degree from an accredited institution in Engineering, Building Construction, Business Administration, or closely related field and three (3) years of experience in administering and coordinating development activities from permitting, construction, inspections, scheduling, projects close-out, and/or customer service. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.
Real Estate Management
Bachelor's degree from an accredited institution and three (3) years of experience in real estate contract management, project management, lease/property management, entitlement and development, appraisal, title processing, or related real estate activities. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.
Possess a Florida notary license or be able to obtain it within three (3) months of hire. |

Preferences |
|
Proficient in Microsoft Office.
County Administration
Technical writing and graphic design experience with Photoshop, InDesign, Canva, or similar software.
Experience with Program Management Software.
Public Works
Knowledgeable in the County's Land Development Management System (LDMS).
Real Estate Management
Intermediate equipment and computer software skills including Windows-based computers, Microsoft Office Suite, Adobe Pro, and virtual meeting platforms.
Experience with Monday.com, Aurigo, the County's Land Development Management System (LDMS) and/or other project management or land management software. |
