PARKS RESERVATION SPECIALIST

General Functions
  

This role provides centralized coordination and administration of the department's reservation, registration, and customer account operations for Parks and Recreation and Community Action facilities. Oversees the accurate processing of facility reservations, program registrations, and revenue collection while supporting standardized business processes, system administration, and customer service across multiple locations. Ensures compliance, data integrity, and the efficient operation of the department's reservation and registration system serving more than 100 parks, 650 facilities, and 250 rentable spaces.

Work is performed with considerable independence under the supervision of the Program Specialist. Performance is reviewed through observations, reports, and results achieved.

 
Representative Duties /Assignments
  

Duties may vary based on area of assignment. The following are representative duties; it is not the intent to capture all duties performed by this classification.

  • Responds to and coordinates incoming business requests for Parks and Community Centers, serving as the primary point of contact for information and referral services.
  • Maintains continuing education and demonstrates advanced proficiency in the department's proprietary software system used for maintenance scheduling, facility rental processing, program registration, revenue collection, refund processing, and Customer Service Request (COR) submissions.
  • Serves as an Emergency Essential employee by disseminating critical information to the public before, during, and after emergencies or disasters.
  • Prepares facility use agreements and processes revenue collection for approximately 650 unique facilities within the Community and Family Services (CFS) Department.
  • Retrieves and responds to voicemail and email inquiries regarding contractual requests for 114 park properties and 90 Community Action facilities.
  • Provides one-on-one customer service and technical assistance to citizens using online accounts, including account access, invoicing, facility scheduling, and recurring invoice management.
  • Leads efforts to standardize business processes, digitize workflows, support staff across multiple locations, and ensure accuracy, compliance, and data integrity across departmental systems and operations.
  • Performs other related duties as assigned.
 
Minimum Qualifications
  

Associate's degree from an accredited institution and one (1) year of experience in customer service, cashiering, sales, or a

related field. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.

 
Preferences
  

Experience using RecTrac and County revenue handling procedures.
